Refund & Cancellation Policy
Effective date: 10 October 2026
This Refund & Cancellation Policy explains how Fairchance for CRM (“Fairchance”, “we”, “us” or “our”) handles cancellation requests and refund assessments for services purchased directly from Fairchance. It should be read with the relevant quotation, proposal, subscription order, statement of work and signed agreement.

1. General Principles
Fairchance aims to deal with cancellation and refund requests fairly and transparently. Eligibility depends on the type of service, the stage of delivery, work already performed, third-party commitments and the terms agreed with the customer.
Nothing in this policy excludes or limits any right or remedy that cannot lawfully be excluded or limited under applicable law. Where a signed agreement provides a specific cancellation or refund term, that term will apply to the extent legally enforceable.
2. Software Licenses and Third-Party Subscriptions
Software licenses and subscriptions supplied by third-party providers, including Zoho or other vendors, are subject to the applicable provider’s subscription, cancellation, renewal and refund terms. Fairchance cannot promise a refund where the provider does not approve or permit one.
Once a license or subscription has been provisioned, activated or renewed, the amount paid may be non-refundable, except where the vendor’s terms, the customer’s agreement or applicable law provides otherwise. Any vendor-approved refund will be handled in accordance with the vendor’s process and any applicable contractual terms.
3. Implementation, Consulting and Development Services
For implementation, consulting, configuration, customization, integration and development work, payments relate to the agreed services and milestones. If a customer cancels after work has started, Fairchance may deduct or invoice the reasonable value of work completed up to the effective cancellation date, together with approved expenses and non-cancellable third-party costs, subject to the signed agreement and applicable law.
Any amount remaining after accounting for completed work, approved costs and applicable contractual terms will be assessed for refund. Advance or retainer payments are not automatically refundable in full merely because the customer elects not to continue; their treatment depends on the purpose of the payment and the applicable agreement.
Where a deliverable is materially inconsistent with the agreed written scope, the customer should notify Fairchance in writing and provide sufficient details to allow review and, where appropriate, a reasonable opportunity to correct the issue before requesting a refund, unless the agreement or applicable law provides otherwise.
4. Support and Maintenance Plans
Cancellation and refunds for support or maintenance plans depend on the agreed service period, payment schedule, work already provided and the applicable support agreement. Fees for periods already delivered, support already used or non-cancellable commitments may not be refundable, subject to the agreement and applicable law.
Customers wishing to stop an automatically renewing or recurring service should submit a written cancellation request before the renewal date and within any notice period specified in the relevant agreement. Cancellation of future renewal does not automatically refund fees for a current service period.
5. Customer Cancellation Requests
Customers should submit cancellation requests in writing to sales@fairchanceforcrm.com. Include the customer or company name, invoice or order number, service or project name, reason for cancellation and requested effective date.
Fairchance will acknowledge the request and confirm any information needed to assess it. The cancellation takes effect when confirmed in writing by Fairchance or on another date agreed under the relevant contract. Until confirmation, the customer should not assume that scheduled work, recurring billing or third-party subscriptions have been stopped.
Where work is in progress, Fairchance may pause further work while the request is reviewed. The parties should cooperate on any agreed handover, access revocation, data export or transition arrangements.
6. Circumstances That May Not Qualify for a Refund
- The customer changes its mind after services have been delivered or a subscription has been activated, except where a refund is required by the applicable agreement, vendor terms or law.
- The customer does not provide required information, access, approvals or cooperation, causing delay or preventing completion.
- The request relates to new requirements or a change of scope rather than a failure to deliver the agreed scope.
- The payment covers completed work, an elapsed service period, an approved expense or a non-cancellable third-party charge.
- A third-party provider declines a refund under its own terms.
7. Duplicate, Incorrect or Failed Payments
If a customer believes it has paid twice, paid an incorrect amount or been charged for a transaction that failed, it should contact Fairchance promptly and provide the relevant invoice, transaction reference and payment evidence. After verification, confirmed duplicate or erroneous payments will be corrected or refunded through an appropriate payment method, subject to payment-provider procedures and applicable law.
8. Refund Review and Processing
Fairchance will review a complete refund request against the relevant agreement, delivery records, invoices, milestone status and any applicable third-party terms. We will communicate the outcome and, where a refund is approved, the amount and expected processing method.
Approved refunds will normally be returned using the original payment method where practicable. Processing times may depend on the bank, card issuer, payment gateway or other payment provider. Any applicable deductions or non-refundable transaction costs will be handled only where permitted by the agreement and applicable law.
9. Chargebacks and Payment Disputes
Customers are encouraged to contact Fairchance first to resolve billing concerns and provide relevant supporting information. This does not restrict any rights the customer may have to raise a dispute with its payment provider or under applicable law.
